1. Data protection principles
The APHS is committed to processing data in accordance with its responsibilities under the GDPR.
Article 5 of the GDPR requires that personal data shall be:

- kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed; personal data may be stored for longer periods insofar as the personal data will be processed solely for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes subject to implementation of the appropriate technical and organisational measures required by the GDPR in order to safeguard the rights and freedoms of individuals; and

2. General provisions
- This policy applies to all personal data processed by the APHS.
- The Responsible Person shall take responsibility for the APHS’s ongoing compliance with this policy.
- This policy shall be reviewed at least annually.
3. Lawful, fair and transparent processing
- To ensure its processing of data is lawful, fair and transparent, the APHS shall maintain a Register of Systems.
- The Register of Systems shall be reviewed at least annually.
- Individuals have the right to access their personal data and any such requests made to the APHS shall be dealt with in a timely manner.
4. Lawful purposes
- All data processed by the APHS must be done on one of the following lawful bases: consent, contract, legal obligation, vital interests, public task or legitimate interests (see ICO guidance for more information).
- The APHS shall note the appropriate lawful basis in the Register of Systems.
- Where consent is relied upon as a lawful basis for processing data, evidence of opt-in consent shall be kept with the personal data.
- Where communications are sent to individuals based on their consent, the option for the individual to revoke their consent should be clearly available and systems should be in place to ensure such revocation is reflected accurately in the APHS’s systems.
5. Data minimisation
- The APHS shall ensure that personal data are adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed.
6. Accuracy
- The APHS shall take reasonable steps to ensure personal data is accurate.
- Where necessary for the lawful basis on which data is processed, steps shall be put in place to ensure that personal data is kept up to date.
7. Archiving / removal
- To ensure that personal data is kept for no longer than necessary, the APHS shall put in place an archiving policy for each area in which personal data is processed and review this process annually.
- The archiving policy shall consider what data should/must be retained, for how long, and why.
8. Security
- The APHS shall ensure that personal data is stored securely using modern software that is kept-up-to-date.
- Access to personal data shall be limited to personnel who need access and appropriate security should be in place to avoid unauthorised sharing of information.
- When personal data is deleted this should be done safely such that the data is irrecoverable.
- Appropriate back-up and disaster recovery solutions shall be in place.
9. Breach
In the event of a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data, the APHS shall promptly assess the risk to people’s rights and freedoms and if appropriate report this breach to the ICO ( more information on the ICO website)

Terms of Service and Privacy Policy
TERM & CONDITION FOR EVENTS
At MICEair we take your privacy seriously, and want you to understand clearly how we will use the personal data you supply when registering to attend this meeting, which represents the establishment of a contract between you and MICEair. We have one set of conditions for “ordinary” personal data (name, contact details, job title, etc) and a different approach to “sensitive” personal data (eg personal photograph; dietary requirements; disabilities).
Conditions for “ordinary” personal data
By registering, you agree to share the “ordinary” personal data you provide with the other delegates who will attend the meeting, to enable effective networking and business exchanges to take place, including on the official MICEair applications. Personal data on all delegates will be retained on the registration system/App for 3 months after the event date, for the purpose of enabling delegates to easily contact one another after the event is over; other parties who did not attend the meeting will not be able to access personal data from that
meeting.
I agree that MICEair may process my data in their event registration system, and may communicate with me via email, post or other methods with important messages relating to this meeting.
I agree that MICEair may add my personal data to their main CRM system, where they maintain records of the MICEair-related activities of employees of member companies, of international associations, and of companies and organisations that have expressed an interest in event membership or event’s services. The privacy policy relating to MICEair’s CRM system will then apply.
A listing of all registered delegates’ names, company and country, without any contact details, will be visible to all the event is being promoted, in the password-protected “MICEair” portal. This is for the purpose of encouraging other attendees to register for the event. The listing will be deleted immediately after the event takes place. If needed, the listing will be also shared with the LHC.

Special opt-in conditions for sensitive personal data
Some personal data is regarded as particularly sensitive, and MICEair will always handle this type of data with an appropriate level of care.
Photographs
Delegates have the option to share a photograph of themselves, or may opt to not provide this. If shared, the photo(s) will remain on the official MICEair App for 1 year.
Photography and video material
Pictures and videos taken at MICEair Events (including attendees activities at tradeshows) could be reproduced in educational, news or promotional material, whether in print, electronic or other media, including social media and the websites.
MICEair reserves the right to crop, splice, treat and edit any imagery or photographs taken at events. The Participant waives the right to inspect or approve the finished product, including written or electronic copy. Additionally, all rights to royalties or other compensation arising or related to use of the name, photograph or biography are waived by the Participant, Participant’s agents or employees. All photographs and video materials taken at events become the property of event. MICEair related material may not be photographed, drawn, copied or reproduced without MICEair’s written permission.
